How to Perform Bulk Operations

Bulk operations let you make changes to many contacts at once, saving hours of manual work. This guide covers all available bulk actions and best practices.

Select multiple contacts using checkboxes

Permissions Required

Bulk operations require Admin or Manager role. Some destructive actions (like delete) may require Admin only.

Selecting Contacts

Select Individual Contacts

Click the checkbox next to each contact you want to include. A counter shows how many are selected.

Select All on Page

Click the checkbox in the header row to select all contacts on the current page.

Select All Matching Filters

After selecting all on page, a banner appears: "Select all X contacts matching these filters". Click to include contacts across all pages.

Available Bulk Actions

With contacts selected, click Bulk Actions to see available operations:

Add Tags

Apply one or more tags to all selected contacts. Existing tags are preserved.

Remove Tags

Remove specific tags from selected contacts.

Update Field

Change a field value for all selected contacts:

• Set Support Level (1-5)

• Mark as Volunteer

• Update custom fields

Add to List

Add selected contacts to an SMS list, email segment, or walk list.

Export

Download selected contacts as a CSV file.

Delete

Permanently remove selected contacts. This action cannot be undone.

Use Filters First

Apply filters before bulk selection to target exactly the contacts you need. This is faster and safer than manual selection.

Best Practices

• Double-check your selection - Verify the count before proceeding

• Use filters wisely - Narrow down first, then select all

• Export before delete - Always export contacts before deleting, just in case

• Test on small groups - Try bulk actions on a few contacts first

Troubleshooting

Bulk action button is disabled

Select at least one contact. Also verify you have the required permissions.

Action is taking too long

Large bulk operations run in the background. You'll receive a notification when complete.

Some contacts weren't updated

Check for validation errors. For example, if setting a required field, contacts missing prerequisites may be skipped.
